Set up guide
This page lists what to set up first, in order, then what to keep coming back to as you run the network — each step links to its detailed page.
New here? Start with the overview to see how the console, your stockhouse, and your franchisees' store app fit together before setting anything up.
Setup checklist
Everything below happens inside one franchise, so the brand comes first — then its catalog, then your warehouse, and only then the franchisees.
- Create your franchise — name the brand; its franchisee signup link is built and reserved at the same moment.
- Add the brand's logo — it appears on the signup page a franchisee opens, and across your console.
- Build the preset menu — the brand's categories, items, sizes, add-ons, and combos.
- Register the preset inventory — the stock every store tracks, with units, cost, and which items are Franchisor-exclusive.
- Set up the preset recipes — link menu items to inventory so every store deducts stock automatically as it sells.
- Add the preset expense items — the costs each store records its spending against.
- Register what you supply into your StockHouse — registering a preset item is what makes it orderable by stores; count it once to set its opening stock.
- Invite your franchisees — switch the signup link live and share it; each owner who signs up through it starts with your preset already loaded.
Ongoing checklist
Setup is a one-time pass. Once franchisees are running, these are what you come back to — grouped by the part of the console they belong to.
Keep the brand standard current
- Publish preset changes — evolve the menu, inventory, recipes, and expense items, and see how each edit reaches connected stores.
- Invite the next franchisee — the same signup link keeps working, so every new owner joins with the current preset already loaded.
Supply your stores
- Accept & fulfill orders — work the shared queue from request to invoice as stores order from you.
- Buy stock into your StockHouse — record purchases so quantity and cost go up as you restock.
- Stocktake and log waste — verify counts periodically so the ledger matches the shelf.
- Record your StockHouse costs — the spending that is not stock, so the profit figure is real.
- Bring in partner suppliers — authorise a third party to supply your stores without losing sight of what they ship.
- Open the public order form — take supply orders from franchisees who are not on BuddyStall, into the same board.
Watch the network
- Read the sales dashboard — every store's sales on one screen, with trends, rankings, and best-sellers.
- Work the compliance alerts — catch off-book sourcing and recipe drift before they erode the brand.
- Keep the stores map complete — your footprint on one map, including locations not yet on BuddyStall.
New accounts start on a free trial, and what you pay after it follows how many stores are connected to your franchises — so the bill moves as the network grows. Check the trial end date and your next billing amount on Billing & subscription, and keep the address we email you at verified in Account settings.
